Privacy Policy
Learn how FROST ELITE and XDRIP Digital Management LLC collect, use, protect, retain, and disclose personal information across the ambassador program.
This Privacy Policy explains how XDRIP Digital Management LLC ("XDRIP," "XColdPro," "we," "us," or "our") handles personal information in connection with the FROST ELITE Ambassador Program.
1. Scope and data controller
This Policy applies to the FROST ELITE public website, ambassador applications, accounts and dashboards, referral links, commission administration, payout onboarding, communications, and related support. XDRIP Digital Management LLC is the controller of personal information processed for these activities.
Separate XColdPro services, including the main XColdPro website and shop, may publish their own policies. A referred customer's purchase is also governed by the privacy policy displayed on the shop where the order is completed.
2. Personal information we collect
Information you provide
- Identity and contact data: name, email address, phone number, company name, and account credentials.
- Application and profile data: website, social profiles, audience information, promotional channels, biography, profile image, application answers, and custom referral slug.
- Program records: signed agreement details, signature, acceptance timestamp, IP address, browser information, tier, referrals, qualifying sales, commissions, payout requests, and account status.
- Communications: messages, support requests, preferences, and other information you send to us.
Payout and verification information
Stripe Connect handles payout onboarding and may collect bank, identity, tax, and verification information directly from you. We receive limited account identifiers, onboarding status, payout capability, and transaction records needed to administer the program. We do not receive or store your full bank-account credentials or full payment-card number.
Information collected automatically
We may collect IP address, user agent, device and browser type, referring URL, landing page, session or visitor identifier, timestamps, UTM campaign parameters, security events, and interactions with the site. Optional analytics data is collected only after consent, as described in our Cookie Policy.
3. How and why we use personal information
We use personal information to:
- review applications, create accounts, authenticate users, and provide the dashboard;
- operate referral links, attribute qualifying purchases, calculate commissions, administer tiers, and process payouts;
- communicate program, account, security, payout, and policy information;
- detect invalid traffic, self-referrals, fraud, abuse, and violations of the Program Terms;
- maintain, secure, troubleshoot, and improve the program;
- comply with accounting, tax, sanctions, law-enforcement, and other legal obligations; and
- establish, exercise, or defend legal claims.
Where applicable, our legal bases are performance of a contract or steps requested before entering one, compliance with legal obligations, our legitimate interests in operating and securing the program, and consent for optional analytics or marketing communications. You may withdraw consent at any time without affecting earlier lawful processing.
4. Referral and customer attribution data
When a visitor follows an ambassador referral link, we record the referral code, a pseudonymous visitor identifier, technical request data, campaign parameters, and attribution timestamps. If a qualifying purchase occurs within the stated attribution window, the order may be associated with the referring ambassador for commission purposes.
6. Data retention
We retain personal information only for as long as reasonably necessary for the purposes described in this Policy. Retention depends on account status, the attribution and dispute period, security needs, and legal obligations. In general:
- application and account data is retained while the application is reviewed or the account remains active, then for a reasonable period to address disputes and prevent abuse;
- commission, payout, tax, agreement, and accounting records may ordinarily be retained for up to seven years or longer where law requires;
- referral and security logs are retained for the attribution, fraud-prevention, audit, and dispute periods applicable to the relevant activity; and
- backup copies are removed through our ordinary backup-rotation process.
We may retain de-identified or aggregated information that can no longer reasonably identify an individual.
7. Your privacy rights
Depending on where you live, you may have rights to access, correct, delete, restrict, or object to processing; obtain a portable copy; withdraw consent; and appeal a denied request. You may also have the right to opt out of targeted advertising, sale, or certain sharing of personal information.
Send requests to support@xcoldpro.com with the subject "FROST ELITE Privacy Request." We may verify your identity and authority before acting. Authorized agents may submit requests where permitted by law. We will not discriminate against you for exercising a privacy right.
If you are in the EEA, United Kingdom, or Switzerland, you may also complain to your local data-protection authority. If you are a Colorado resident, you may appeal a decision by replying to our response with the subject "Privacy Appeal."
8. International data transfers
We are based in the United States, and our service providers may process information in the United States or other countries. Where required, we rely on recognized transfer mechanisms such as adequacy decisions, Standard Contractual Clauses, or another lawful safeguard. Local laws in a destination country may differ from those where you live.
9. Security, children, and automated decisions
We use reasonable administrative, technical, and organizational safeguards designed to protect personal information, including encrypted transport, hashed passwords, access controls, rate limiting, logging, and account-security measures. No system is completely secure, and we cannot guarantee absolute security.
The program is not directed to anyone under 18 or below the age of majority in their jurisdiction. We do not knowingly accept minors as ambassadors. Contact us if you believe a minor submitted personal information.
We may use rules and signals to detect fraud or invalid referral activity. We do not make solely automated decisions that produce legal or similarly significant effects without an available review process where required by law.
10. Changes to this Policy
We may update this Policy when our program, service providers, or legal obligations change. The effective date and version shown on the public page identify the current document. For material changes affecting active ambassadors, we may also provide notice by email or through the dashboard.
